What Ulti-Mate collects, why we collect it, and the control you have over your data.

Ulti-Mate (“we,” “us”) is a team management app for ultimate frisbee teams — rosters, schedules, RSVPs, attendance, and practice plans. This policy explains what we collect, how we use it, who we share it with, and the choices you have. It applies to the Ulti-Mate website and web application.
1. Information we collect
Account & profile information
You sign in with Google. When you do, we receive your name, email address, and Google profile picture. You can add or edit profile details inside the app — your nickname, pronouns, and a profile photo. We never receive or store your Google password.
Team content you create
Ulti-Mate stores the team data you and your teammates choose to add:
- Rosters and player details
- Schedules, events, and RSVPs
- Attendance records
- Practice plans, drills, and notes
- Film, comments, and reactions
- Team and season settings, including roles like coach or captain
When you invite someone to your team, we store the email address you enter so we can deliver the invitation and show you whether it arrived.
Payment information
The Team plan is billed through Stripe, our payment processor. Stripe collects and stores your payment details — we never see or store your card number. We keep only what's needed to manage your subscription, like your plan and billing status.
Technical information
Like most web apps, we automatically receive basic technical data — IP address, browser type, device information, and request timestamps. We use it for security, debugging, and keeping the app running.
2. How we use your information
We use the information above to:
- Sign you in and keep your account secure
- Run the product for your team — showing your roster, schedule, and attendance
- Send the emails you ask us to, like team invitations
- Process payments and manage your subscription
- Respond to your questions and support requests
- Protect against fraud, abuse, and security threats
- Improve and maintain the service
We do not sell your personal information, and we do not use it for advertising.
3. How we share information
We share information only in these limited cases:
- With your team. Content you add is visible to other members of your team according to their role. That's the point of a shared team tool.
- With service providers. We use trusted vendors to run Ulti-Mate — Convex (backend and database), Google (sign-in), Stripe (payments), and Resend (email delivery). They process data on our behalf and only as needed to provide their service.
- For legal reasons. We may disclose information if required by law, or to protect the rights, safety, and security of our users and the service.
4. Data retention
We keep your information for as long as your account and team are active, or as needed to provide the service. When you ask us to delete your account or your team's data, we remove it within a reasonable period, except where we must keep it for legal or security reasons.
5. Security
We take reasonable measures to protect your information, including encryption in transit and access controls. No method of transmission or storage is completely secure, so we can't guarantee absolute security — but we work to keep your data safe and to respond quickly if something goes wrong.
6. Your rights and choices
You can:
- View and update your profile information from within the app
- Request a copy of the personal data we hold about you
- Ask us to correct or delete your data, or to delete your account
To make a request, email hello@ulti-mate.app. Depending on where you live, you may have additional rights under laws like the GDPR or CCPA — we honor those requests.
7. Children's privacy
Ulti-Mate isn't directed at children under 13, and we don't knowingly collect their personal information. A coach or organizer managing a youth team is responsible for having the right to add player details and for any consent required. If you believe a child has given us personal information, contact us and we'll delete it.
8. Where your data is stored
Ulti-Mate is operated from, and your data may be stored in, the United States. By using the service, you understand your information may be processed in countries with different data protection laws than your own.
9. Changes to this policy
We may update this policy as the product evolves. For material changes we'll update the date above and, where appropriate, notify you in the app. Continuing to use Ulti-Mate after a change means you accept the updated policy.
